This notice explains what we collect when you take our customer survey, why, and the choices you have. It's written to meet Botswana's Data Protection Act and the EU General Data Protection Regulation (GDPR).
Who we are
Sefalana Cash & Carry Limited ("Sefalana", "we") runs this survey and decides how its information is used. Our address is Plot 10038, Broadhurst Industrial, Gaborone, Botswana.

Taking part is your choice
You don't have to take the survey, and you can skip any question except your age range and the store you visited. You can stop at any time.
What we collect
- Your answers: your age range, the store you visited, the day and time of your visit, your ratings and scores, and anything you type in the comment boxes.
- Contact details, only if you choose: your name, phone number and email address, if you tick a box asking us to contact you or send you news and offers.
- Basic technical details: the type of browser and device you use, when you started and finished, and how long the survey took. We use these to make the survey work well on different phones.
Please don't type personal information about yourself or anyone else (such as names of staff, ID numbers or account numbers) in the comment boxes.
Your answers are saved as you go
So you don't lose your progress, each answer is saved when you move to the next question. That means if you stop part-way, the answers you've already given are kept and used in the same way as a finished survey.
Your browser also keeps a temporary copy in this tab so you can carry on after a refresh. It's cleared when you finish or close the tab. We don't use cookies or advertising trackers in the survey.
Why we use it
- To understand what customers think of our stores, staff, products and prices, and to improve them. Our legal basis is our legitimate interest in improving our service, together with your choice to take part.
- To contact you about your feedback, only if you ask us to. Our legal basis is your consent.
- To send you Sefalana news and special offers, only if you ask us to. Our legal basis is your consent.
We report results as totals and averages (for example, a store's average rating). We don't use your answers to make automated decisions about you.
If you leave the contact boxes unticked
We don't ask for your name or contact details, so we can't tell who gave which answers. Because of that, we also can't find your answers later to show them to you or delete them.
Customers under 18
Customers of any age can share feedback. If you tell us you're under 18, we don't ask for contact details or offer marketing messages, and we don't keep any contact details sent with your answers.
Who can see your information
- Authorised Sefalana staff who look after customer experience and run our stores.
- The company that hosts our survey system (Amazon Web Services (AWS)), which stores it for us and may only use it on our instructions.
We don't sell your information or share it with advertisers.
Where it's stored
Your information is stored on servers in South Africa. Because this is outside Botswana, we make sure the transfer is allowed under the Data Protection Act and that your information is protected to the same standard as in Botswana.
How long we keep it
- Survey answers: up to 24 months, after which they're deleted or kept only as totals that can't identify anyone.
- Contact details: until we have followed up on your feedback, or until you ask us to stop sending marketing.
Your rights
You can ask us to:
- tell you what information we hold about you and give you a copy
- correct information that's wrong
- delete your information
- stop using your information, or stop sending you marketing at any time
- withdraw your consent at any time (this doesn't affect what we did before)
To make a request, contact us at the address above. If you're unhappy with how we've handled your information, you can complain to the Information and Data Protection Commission (IDPC) of Botswana. If you live in the European Union, you can also complain to your local data protection authority.
Changes to this notice
If we change this notice, we'll update the date at the top. The latest version is always on this page.
